Booking Terms & Conditions
The contract, payment, itinerary, safety, and service conditions that apply when you book a journey with Namla Expeditions.

This policy forms part of the booking framework. Your booking confirmation may add trip-specific dates, prices, inclusions, or requirements.
Scope and contract documents
These terms apply to trekking, mountaineering, climbing, skiing, touring, logistics, and related travel services supplied by Namla Expeditions (SMC-Private) Limited, referred to as “Namla”, “we”, “us”, or “our”. The person named on the booking and every participant covered by it are referred to as “you” or “the participant”.
Your contract consists of these Booking Terms, the booking confirmation or accepted proposal, the applicable policies in the Legal centre, and any written trip-specific conditions. The booking confirmation controls only where it clearly states that a trip-specific term replaces a general term.
A lead booker confirms that they have authority to provide information and accept booking conditions for every participant included in the booking. Each adult participant remains responsible for reviewing and complying with the contract.
Booking and acceptance
An inquiry, proposed itinerary, availability message, or provisional place is not a confirmed booking. A booking becomes binding when Namla issues written confirmation after receiving the required deposit or payment and any information needed to accept the participant.
Acceptance may depend on group availability, minimum numbers, route feasibility, permits, medical or experience information, and receipt of a signed waiver or acknowledgement. We may decline a booking where the proposed objective is unsuitable or the required operating conditions cannot be met.
Review names, dates, services, prices, and personal details immediately. Tell us promptly about an error. Changes requested after third-party or government arrangements have been made may incur additional costs.
Prices, deposits, and payment
The booking confirmation states the trip price, currency, deposit, balance date, inclusions, and exclusions. Unless the confirmation says otherwise, bank fees, exchange charges, personal expenses, visas, personal insurance, excess baggage, medical treatment, rescue, evacuation, and services caused by delay are not included.
Deposits allow us to reserve staff, accommodation, transport, permits, equipment, and third-party services. A deposit may become non-refundable to the extent stated in the Cancellation & Refund Policy or booking confirmation.
Payment must arrive in cleared funds by the stated date. If payment is late, we may treat the booking as cancelled after giving written notice and a reasonable opportunity to correct the default. Any resulting cancellation charge remains payable.
Published prices can change before confirmation. After confirmation, we may pass on a new or increased government fee, tax, permit charge, royalty, or participant-requested service where the booking confirmation permits it or applicable law allows it. We will explain the reason and amount in writing.
Itineraries and operational changes
Mountain itineraries describe an intended plan, not a guaranteed sequence or outcome. Weather, road and flight disruption, glacier or river conditions, illness, acclimatisation, government directions, permit restrictions, staff welfare, security, and other field conditions may require changes.
The expedition leader or Namla operations team may alter a route, timing, camp, transport method, accommodation, staff arrangement, activity, or objective where reasonably necessary for safety, legality, or practical operation. Reaching a summit, pass, base camp, or any named objective is never guaranteed.
Where a significant pre-departure change is within our control, we will offer the reasonable alternatives available. Changes caused by circumstances outside our control are handled under the Cancellation & Refund Policy, and additional or unrecoverable costs may remain with the participant.
Participant changes and transfers
Requests to change dates, services, route, or participant name must be made in writing. A request is not accepted until we confirm it. Any price difference, administrative expense, permit amendment, or third-party charge is payable by the participant.
A booking cannot be transferred or resold without our written approval. Approval may be refused where a permit is personal, an authority or supplier does not allow substitution, the replacement participant does not meet experience or medical requirements, or there is insufficient processing time.
Documents, fitness, and insurance
You must provide accurate passport, visa, permit, emergency contact, experience, medical, and insurance information by the requested deadlines. The Visa & Permit Policy, Medical Fitness Policy, and Travel Insurance & Rescue Policy form part of these terms.
Failure to meet a mandatory requirement may prevent participation and may be treated as a participant cancellation. Acceptance of a booking does not confirm that a participant is medically fit, technically competent, insured, or eligible for a visa or permit.
Safety, conduct, and leader authority
You must follow reasonable safety, environmental, legal, and operational instructions from the expedition leader, guides, and authorities. The leader may require a participant to stop an activity, descend, change position in the group, or leave the journey where health, ability, equipment, conduct, or conditions create an unacceptable risk.
Removal for participant breach does not normally create a right to a refund. The participant is responsible for resulting accommodation, transport, escort, medical, evacuation, repatriation, or other costs, subject to applicable law.
Suppliers and events beyond control
Airlines, hotels, vehicle operators, permit authorities, insurers, rescue providers, and other independent suppliers may apply their own conditions. We coordinate these services as stated in the booking, but do not control every supplier decision, public authority, aircraft, road, or communications network.
We are not responsible for a failure caused by an event that could not reasonably be prevented or controlled, including severe weather, natural hazard, epidemic, conflict, civil disturbance, government action, border or airspace restriction, transport shutdown, road closure, rescue unavailability, or similar event. Refunds and recoverable costs are handled under the Cancellation & Refund Policy.
Complaints, law, and severability
Raise a service concern with the trip leader as soon as reasonably possible so that the team has an opportunity to investigate and respond. If it is not resolved, send a written complaint with relevant details and records within 30 days after the scheduled end of the journey.
The contract is governed by the laws applicable in Pakistan. The parties should first attempt to resolve a dispute in good faith. An unresolved dispute may be brought before a court with competent territorial and subject-matter jurisdiction.
If a term is found invalid or unenforceable, it will be limited or removed only to the extent required, and the remaining terms continue. A delay in enforcing a right is not a waiver of that right.
