Cancellation & Refund Policy
How participant cancellations, operator changes, unavoidable events, unused services, and recoverable refunds are handled.

This policy forms part of the booking framework. Your booking confirmation may add trip-specific dates, prices, inclusions, or requirements.
How to cancel
A cancellation must be sent in writing by the lead booker or affected participant using the contact details in the booking confirmation. It takes effect when Namla receives clear written notice. A message asking about options is not a cancellation unless it clearly requests cancellation.
If one person cancels from a group, the price for remaining participants may change where costs were shared or depended on group size. We will explain any revised price before applying it.
Participant cancellation charges
The cancellation schedule stated in the booking confirmation applies. It reflects the time before departure and the costs committed for permits, royalties, staff, accommodation, transport, equipment, food, administration, and other services.
Where the booking confirmation does not state a percentage schedule, Namla will retain the deposit and the non-recoverable or already performed costs attributable to the booking. Any remaining cleared amount will be refundable. The amount retained will not be less than third-party, government, banking, and administrative costs that cannot reasonably be recovered.
A no-show, failure to arrive with required documents, late arrival that prevents participation, or voluntary withdrawal after services begin is normally treated as cancellation at 100% of the affected services, subject to any amount we actually recover and are legally required to return.
Non-refundable and recoverable costs
Government fees, royalties, visa support, permit processing, supplier deposits, bank charges, personalised items, booked staff, and services already performed may be non-refundable or only partly recoverable. The treatment depends on when cancellation occurs and the rules of the authority or supplier.
We will take reasonable steps to cancel unused arrangements and request available refunds, but we do not promise that a government body or supplier will return money. Any genuine amount recovered for the participant after deductions will be included in the final refund calculation.
Transfers and replacement participants
A participant may request a date transfer, credit, or eligible replacement, but no option is guaranteed. Approval depends on permits, supplier rules, timing, availability, medical and technical suitability, group pricing, and payment of all additional costs.
A credit or transfer is valid only when confirmed in writing and is subject to its stated expiry date and conditions. It has no cash value unless we expressly agree otherwise.
Cancellation by Namla before departure
We may cancel before departure if the journey cannot operate safely or lawfully, required minimum numbers are not met, key permits or services are unavailable, the participant has not met booking requirements, or circumstances beyond our control make performance impracticable.
Where cancellation is within our reasonable control and not caused by participant breach, we will offer an available alternative, credit, or refund of amounts paid for services we will not provide, less any lawful and clearly identified non-recoverable cost. We do not pay for separate flights, visas, equipment, insurance, or other arrangements unless applicable law requires it.
Where a participant rejects a reasonable material-change alternative, the written offer will explain the available refund or credit.
Unavoidable and extraordinary circumstances
Severe weather, natural hazard, epidemic, conflict, civil disturbance, government action, border or airspace restriction, permit suspension, transport shutdown, road closure, rescue unavailability, and similar events may prevent or materially change a journey.
In these circumstances, we will assess the services that can still be supplied, changed, transferred, or recovered. A refund is limited to money returned or not committed for services that will not be provided, after reasonable costs already incurred. We may offer a credit or revised departure where practical.
Additional accommodation, transport, meals, staffing, permit changes, evacuation, or delay costs caused by such events are the participant’s responsibility unless included in the revised service or payable under applicable law. Suitable travel insurance is intended to address many of these exposures.
Changes, curtailment, and unused services
No refund is normally due for a summit or objective not reached, an itinerary changed for safety or conditions, a participant choosing not to use an included service, or a participant leaving early. Staff, food, camps, transport, permits, and logistics may still have been supplied or committed.
If Namla materially fails to provide a service for reasons within its reasonable control and no suitable alternative is supplied, we will assess a proportionate remedy for the affected service, subject to the contract and applicable law.
Refund process and timing
Refunds are calculated after supplier, authority, bank, and operational amounts are known. We aim to issue an undisputed refund within 30 days after the final recoverable amount is confirmed. Complex third-party recoveries may take longer, and we will provide a status update on request.
A refund is normally returned to the original payer using the original method or another verified method agreed in writing. Currency conversion and bank fees may affect the amount received and are not refundable unless caused by our error.
Contact us before initiating a payment dispute so the booking record, cancellation date, and recoverable costs can be reviewed. This does not remove any non-waivable right available through a bank, card issuer, or applicable law.
